Q        Some of our employees use their own vehicles for work purposes but they are not covered by the Company's insurance policy. Whose responsibility is it to make sure that they are adequately insured by their own insurance policy?

A        If you ask employees to use their own vehicles you should check they are properly insured.  The easiest way to do this is to ask them to bring in a copy of their insurance policy and take a copy for your files.  You should also check the validity of their driving licence and ask them to sign an undertaking to confirm that they will advise you of any changes to their driving licence or insurance.  It is then worthwhile carrying out checks on an annual basis.

 

Q        Some of our drivers smoke.  Can they smoke in a company vehicle if they are travelling alone in the vehicle?

A        It depends on whether they have sole use of the vehicle.  If other drivers use it from time to time then they should not be allowed to smoke.
